Why this role exists.
Running summits across four markets means a lot of moving parts that happen before anyone steps foot in a venue. Right now, the events team handles cold outreach, builds and maintains contact lists, researches venues, and coordinates vendors.

We're hiring an Events & Marketing Coordinator to assist with the operational groundwork that makes our events and outreach run cleanly. You'll work directly with our Senior Events Manager and touch every market we operate in: Singapore, Toronto, LA, and Australia.

This is a high-ownership role for someone who is fast, organized, and thrives on the behind-the-scenes work that makes big things happen.

Who you are:
  • You treat research like a game. You can find a venue, a vendor, a contact, or a price in less time than most people spend deciding where to start. Then you meticulously track the info and choose the best option.
  • You write clearly and concisely. You can send a cold email to a venue manager or a prospective speaker and make it land.
  • You're organized. You maintain clean lists, consistent file naming, and don't let things fall through the cracks.
  • You're a self-starter. You try the next three things before asking for help and when you do ask, you bring what you've tried.
  • You're comfortable with Slack, Google Workspace, and spreadsheets. You're quick to pick up new tools.

Bonus, not required:
  • Experience with Apollo, Clay, or any outreach sequencing tool.
  • Prior events coordination, EA, or ops experience.
  • Familiarity with the ecommerce or DTC world.
  • Experience building or cleaning contact databases.

What you'll own:
You'll run four core workstreams across our events and outreach operations. Every responsibility below is measured against a concrete outcome.
Email List Building & Database Management:
  • Source and build contact lists for summit outreach, speaker pipelines, sponsor prospecting, and member acquisition across all four markets (Singapore, Toronto, LA, Australia).
  • Clean, deduplicate, and maintain lists in our CRM and outreach tools (Apollo, Google Sheets, or equivalent).
  • Tag contacts accurately by market, category, and stage so outreach is segmented and on-brand.
  • Target: Zero duplicate sends; lists delivered clean, tagged, and ready to import before every campaign.
Digital Cold Outreach Support:
  • Draft and send cold outreach sequences for speaker invitations, sponsor prospecting, and ticket sales campaigns using existing templates.
  • Track reply rates, manage follow-up cadences, and flag warm leads to the Head of Memberships.
  • Iterate on subject lines and opening lines based on performance data.
  • Target: Sequences live at least 3 weeks before each campaign deadline; reply rates reported weekly.
Venue Research:
  • Research and shortlist venues for summits, quarterly in-person hangouts, and roundtable dinners across Singapore, Toronto, LA, and Melbourne.
  • Collect pricing, capacity, AV specs, F&B minimums, and availability into a standardized comparison doc for each search.
  • Initiate first contact with venue coordinators and manage the back-and-forth until a shortlist is handed off.
  • Maintain a running venue database so repeat searches don't start from zero.
  • Target: 3–5 qualified shortlisted venues delivered within 5 business days of each venue brief.
Vendor Research & Coordination:
  • Source and evaluate vendors for event production needs: AV, photography, catering, printing, signage, and swag across all markets.
  • Collect quotes, compare options, and present a clear recommendation with supporting data.
  • Track vendor contacts, pricing, and past performance in a shared database.
  • Follow up on outstanding quotes and flag delays or blockers to the Head of Memberships.
  • Target: Vendor shortlist with at least 2 quotes per category delivered within the timeline set per event.

What we look for in skills:
Must-have:
  • Strong written English. You will be the first touchpoint for venue managers, vendors, and cold prospects.
  • Google Workspace fluency: Sheets, Docs, Drive, Gmail.
  • Spreadsheet competency: deduplication, filtering, basic formulas, consistent formatting.
  • Research instincts: you know where to look, how to triangulate, and when a result is actually good enough.
  • Time management across async work without supervision.

Nice-to-have:
  • Apollo, Clay, Hunter.io, or similar outreach/enrichment tools.
  • Prior experience building contact databases or running cold outreach.
  • Kajabi, Notion, Zapier, or CRM experience.
  • Familiarity with event production workflows.

Compensation & work environment:
COMPENSATION: $200 USD a month. Paid monthly via [Wise / Deel / Payoneer].

WORK ENVIRONMENT:
Fully remote. You set your hours within reasonable EST overlap for sync calls. No in-person or travel requirement.
